Starting Salary Range: $50,000 - Adjustments are determined annually by the Executive Director
Supervisor: Executive Director or as assigned
Essential Job Duties:
- Provides high-level administrative and operational support to the Parks and Recreation District.
- Expected to perform duties with a high degree of independence while providing direct support to the entire Parks and Recreation District and Executive Director.
- Serves as the front-line staff for the District Office by interacting with and fielding inquiries from patrons, staff, and the public.
- Maintains a strong working knowledge of district facilities, programs, memberships, services, and operations to effectively support staff and patrons.
- Performs a variety of administrative and operational duties to support the needs of all departments and district functions

Job Duties/Tasks:
- Performs a variety of administrative support, secretarial, and clerical office support functions.
- Provides information to staff, other departments, and the public regarding facilities, programs, services, and parks.
- Serves as administrative support to the Executive Director, including calander oversight and scheduling meetings, coordination, and prepare administrative materials/reports.
- Attends facility, recreation, fitness, and management team meetings as requested. – also may attend user group specific meetings as requested
- Coordinates and processes department purchase requests, orders, and supply needs.
- Assists Facilities Manager with reservations as needed.
- Works with Guest Services and other departments to support and continually improve customer service.
- Provides administrative support to the Travel Sports Coordinator, including tracking registrations, assistance with hotel reservations, and related logistics as needed.
- Supports travel sports fundraising efforts, including organization and tracking of raffle ticket distribution.
- Supports After School Program administrative needs as assigned.
- Provides backup support for program registrations and membership services during peak times or staff absences.
- Performs other duties for departments as assigned/needed.
Knowledge Required by Position:
- Position requires advanced computer literacy.
- Strong working knowledge of Microsoft Office, including Excel, Word, and electronic communications.
- Ability to quickly learn, navigate, and troubleshoot various software systems, including RecTrac and/or GolfTrac.
- Knowledge of customer service principles and practices.
- Knowledge of office equipment such as personal computers, calculators, and copy/print machines.
- Knowledge of recreation management and facilities operations.
- Evidence of strong written and oral communication skills.
- Position requires strong problem-solving abilities.
- Effective organizational and interpersonal communication skills with strong attention to detail.
- Ability to manage multiple tasks and administrative processes simultaneously.

Guidelines:
- Include the Park District Policies and Procedures. These guidelines are generally clear and specific but may require some interpretation in application.
Working Conditions:
- Job duties will be performed both indoors and occasionally outdoors.
- Work will take place primarily in an office setting at WARC.
Minimum Qualifications:
- High school diploma or equivalent required.
- Three (3) to five (5) years of progressively responsible experience in office or business administration, or any combination equivalent to graduation from high school and four (4) years of increasingly responsible secretarial or administrative office support experience.
- Demonstrated ability to provide high-level customer service.
- Proficiency in computer systems and office software, including Microsoft Word, Excel, and electronic communications.
- Demonstrated experience using Excel for tracking, reporting, or data organization.
- Experience with recreation management software (RecTrac and/or GolfTrac) preferred, or the ability to quickly learn and adapt to new systems.
- Good troubleshooting abilities.
- Ability to work evenings and weekends as needed.
- Ability to work with limited supervision.
- Ability to lift a minimum of 30 pounds or heavier lifting with assistance.
- Ability to effectively communicate verbally and in writing.
- Knowledge of operational policies, procedures, accepted standards, and methods of the parks and recreation field.
- Ability to manage multiple tasks and priorities.
- Current CPR Certification, or ability to obtain within six (6) months.
- Possession of or ability to obtain (within 30 days) a valid driver’s license issued by the State of North Dakota.
- Must be at least 18 years old.
- Possess essential physical and mental capabilities including interpersonal skills, memory, attention to detail, comprehension, organization, and problem-solving.
